An IMATIS Visi electronic whiteboard is a collaborative tool, which combines logistics with resource and patient management. The combination simplifies the design and management of efficient and effective patient flows and workflows. Staff members can easily check and update key patient info, review the current workload and overall ward situation. A clinical pathway module has been developed to systematically manage the patient's journey across units and different levels of healthcare organizations, from start of treatment to finished rehabilitation and remote monitoring, as needed.

One of the major strengths of the IMATIS Visi electronic whiteboard application is the flexibility and the degree to which it can be customized. Each single whiteboard can be adapted to any workflow within the organization, and indeed cross-organizationally, creating collaborative environments to the benefit of patients and staff alike. Cross-ward and cross-hospital workflows are built straight into the whiteboard solution with global columns and customized global lists, shared by all units that take part in each workflow, for example inter-unit transfers or inter-unit service delivery.

The IMATIS Visi application is a powerful tool for managing resources, streamlining processes and team collaboration, and when combined with the IMATIS Mobilix mobility module, the solution can be used for all paging, communications, worklist management and dispatching of tasks to nurses, doctors, housekeepers, orderlies and technical services.

The Imatis product portfolio supports the concept of care orchestration in hospitals by optimizing patient flow, managing logistics and the supply chain, supporting care coordination and caregiver collaboration, notifying caregivers of actionable events and integrating all the technology domains and ICT systems, from sensors to building management systems. The product suite is built on the idea of lightweight IT that includes the full spectrum of client devices from smartphones to large-format, interactive touch monitors and displays. The lightweight apps sit on top of the heavyweight IT systems, i.e. the traditional primary systems, adding value to the existing investment in infrastructure and clinical systems, yet putting the data captured and stored in these systems into motion and making it far more accessible and actionable.

Resource Management

Optimal allocation of all available resources, including personnel, equipment, facilities and supplies, is of vital importance to the hospital. The IMATIS system integrates and retrieves data from other specialist resource systems, for example staff rosters, booking systems, AGV control systems and other scheduling applications.

Each department, unit or ward with an IMATIS Visi electronic whiteboard can easily manage available staff resources directly from the whiteboard itself, using the whiteboard's resource tool, located above the patient and information grid. Staff members are available for task and responsibility allocation, with the added benefit of complete traceability.

The current roaster schedule is displayed in the whiteboard. Users can re-allocate resources in real time, reducing bottlenecks and downtime due to delays. The whiteboard can also include non-medical staff, for example housekeepers and porters even devices, connecting tasks related to patient care and the tasks which are basic premises for delivering care.

Communication and Interaction

Communication and interaction options are embedded directly into the IMATIS Portal, with options for direct messaging between users and/or roles, video chats both internally and with external invitees.

The video face-to-face chat can be used directly in the IMATIS Portal, opened with a modern web browser. This is a great tool for multidisciplinary teams to keep in touch, and can also be used with external resources for meetings, simplifying collaborative patient care by providing a virtual meeting place.  The video chat can also be used with patients, both inpatients and outpatients who are in need of continued care and monitoring from their homes or other care facilities. The video use WebRTC and ORTC that is a secure technology embedded into the web portal. The solution supports modern browsers as Edge, Opera, Firefox and Chrome.

Process Management

Shaping processes for optimal and lean resource use and flow, benefitting the patients and the hospital organization, is complex and laborious work, as is implementing change. However small the changes may seem, they can have large implications in the care of patients. The IMATIS product suite is a tool for implementing these changes, providing support to the staff members in periods of change. Our customers who have started using IMATIS Visi typically experience that after a period of active use in daily operations, making any desired changes to further optimize the workflows is an efficient and agile way of tweaking any process. The changes can be implemented by local resources, without having to resort to change orders.

A whiteboard displays all the unit patient and resource information in a single view, with access to information based on roles. Process filters are defined for specialized workflows, creating specialized whiteboard subsets for staff groups or main processes of each unit. Examples of process filters include check-in/arrivals, planned interventions, surgical preparations, daily housekeeping, meal planning etc. Other useful filters center on role membership, such as multidisciplinary teams, flow coordinators, associated staff from other wards, «My patients» etc. The filters remove non-essential columns from view, shielding staff from information overload. Wall-mounted monitors used as staff information hubs will display a “read only” filter of the whiteboard, where sensitive information is hidden until activated. All the filters and rules behind the filters can be managed by the end user. Filter can be used on global colloum across the campus to use for real-time enterprise optimalisaton. Examples from customer is to focus on frequent flyer patients, fall risk and a lot of other examples in use.

The video or voice conversation can have up to four simultaneous participants. The example shows two staff members in a conversation with a remotely monitored patient, who has access to a patient portal on a tablet. The patient can use the patient portal to contact healthcare staff, either by requesting a chat or by activating a digital safety alarm. For post-discharge chronic patients (COPD, diabetes, heart disease etc.), the portal can be used to monitor the patient's post-discharge development with daily health surveys, leading to early detection of negative developments.

The IMATIS platform contains a framework for integrations, including the Messaging Engine and a CCOW context manager (HL7) for opening third party applications directly from the whiteboards. Data can be combined from multiple different sources and systems, to form a holistic view of all the pertinent patient information and events. With IMATIS Visi can integrate with systems to display information such as lab results and x-ray images, view on-duty resources, display real-time nurse call status etc. Other examples of potential integrations: Booking resources, establishing treatment plans, selecting and monitoring a clinical pathway, booking housekeeping or hospital orderlies and much, much more.

The end result for the caregiver is the ability to focus on providing patient care instead of wasting valuable time looking for information, following up calls, wondering if different tasks are taken care of etc.

Bed and Room Management

The IMATIS Visi bed and room management whiteboard provides an overview of each ward, excellent to track patient-to-bed assignment at a glance. Create a dedicated map of all beds and rooms, where discharges and new requests for beds can easily be incorporated for a complete picture on bed availability throughout the entire organization. The Visi bed management status can share data in real time with other ward whiteboards, housekeeping, porters or janitorial staff whiteboards or to mobile tools, such as the Mobilix Door Display.

Large installations, either in number of beds or in geographically large areas, may benefit from adding a bed management status dashboard for tracking statistics across. The status dashboard can for example include number of open beds, number of expected discharges, average lengths of stay, waiting time for beds etc. Bed status information is reported in real time, showing data from every corner of the enterprise. The IMATIS Time display widget can similarly be used to create single views of statistics, for example by displaying the current waiting time for medical imaging rooms or pathology labs.

Equipment can be tagged with RFID tags for automation of asset management, which can be tracked from the Visi bed and room management application, or other whiteboards. Beds, wheelchairs and incubators are examples of assets that can be tracked, either in real-time for positioning purposes or for matching patient, bed or room with pieces of mobile equipment.

Other hospital resources that can be managed, tracked via integrations or allocated directly from the whiteboard include building facilities, i.e. rooms (patient rooms, examination rooms, medical suites etc.), ambulances, helicopters, medical equipment, sensors etc. This devices can also be conneted with RFID or other type of tags for easy real time location services.

Manage shift changeovers by using a handover workflow and the resource tool, with pre-defined shifts and handover tasks. The handover tasks are also available from the Mobilix smartphone app if messaging is enabled.

Combine the management and input from medical devices, sensors, nurse call and other related systems to create a digitally enhanced ward, taking full advantage of all systems to display a comprehensive real-time view of the ward with patient flow and information, staff allocation, resource availability and device management in one easily navigated whiteboard.

Sensor and Medical Device Management

There are as many configurations, models and uses of IMATIS Visi as there are Visi customers. Several customers use IMATIS Visi for nearly all clinical and technical departments throughout the hospital, and regional installations with clusters of hospitals using the solution for internal work processes as well as regional collaboration, including emergency response centers for region-wide availability queries.

Due to the flexibility of the IMATIS Fundamentum Portal, any information displayed on the IMATIS Visi wall monitors can be shared across the whole spectrum of client devices, including smartphones, tablets, laptops and workstations, using Android, iOS and Windows operating systems. Caregivers can securely access information from any location, inside or outside the care setting. Combined with Mobilix secure messaging, caregivers can be notified of new information, tasks or updates that require their attention.


IMATIS Visi share data with IMATIS Mobilix and other Imatis modules. The Mobilx App platform supports all moderns smart phones and OS.  The App portal has single sign on, role bases user interface and support resposible roles. Imatis ans our partners has apps for a varity of functions for use in hospital, community or for senior living.  The platform has also bulit in a message platform where alarm management is embedded.
